Position Description
Coordinates all facility, food and beverage, and operational activities for assigned shows/conferences. Assists in supporting these functions from inception to completion, including performing initial site research and proposals, attends all assigned shows/conferences and is responsible for coordinating on-site operations.
ESSENTIAL FUNCTIONS:
1. Researches proposed conference sites; gathers information regarding rates, accessibility, meeting rooms, exhibit needs, transportation, catering, miscellaneous services and seasonal discounts.
2. Prepares site proposals for review, makes site and facility recommendations and arranges for site inspection as necessary; assembles all service information pertaining to service contractors’ interaction with exhibitors, including wall layouts, lighting, drayage and other show site needs.
3. Negotiates contracts for room rates, space requirements, complimentary rooms, percent increase limitations, cancellation policies, catering, security, audit-visual, parking and additional needs; reviews and complies with all facilities contracts.
4. Maintains communications with hotel convention services, sales, catering, banquet, AV and services managers; arranges for room set-up, space needs for recruitment, food function menus, coffee service and social activities, and coordinates these functions with editorial, sales and other expositions staff.
5. Arranges all travel and hotel accommodations for event participants and staff; during show tour extensive travel is required.
6. Coordinates exhibitor needs with the sales staff; assists with layouts for floor plans for each expositions event to ensure proper exhibitor placement, good traffic flow, adequate areas for registration and exhibitor service, and compliance with safety and facility requirements.
7. Coordinates the production and positioning of all signage; provides input into the creation and maintenance of all operations contact with exhibitors including service kits, security forms, badge forms, freight scheduling and all other activities pertaining to operations.
8. Coordinates all aspects of exhibitor and attendee registration, including advance and on-site registration, lead retrieval systems, staffing, lists, etc.
9. Develops and maintains communications with exhibitors to ensure their needs are being met and provide an open forum for them.
10. Performs additional duties as assigned by the Operations Director or Show Manager.

Individual must have strong interpersonal and organizational skills, and be detail oriented. In addition, must have practical working knowledge of personal computers, and be familiar with word processing and spread sheet applications.
EDUCATION and/or EXPERIENCE:
Four year college degree in marketing, conference planning or business administration; at least one years experience in hotel and/or banquet sales or facilities management and planning.
